Refund & Cancellation Policy

How your Operix subscription is billed, what happens if an invoice is not paid, how to stop paying, and how we handle a request for your money back. It describes what the billing system actually does today.

1. What you pay for

Operix plans are billed monthly or annually. A monthly payment covers 30 days; an annual payment covers one year. Current plan prices are on the pricing page, and the price of your own plan and any add-ons is shown in Billing inside your workspace before you pay.

2. The free trial

A new business gets a 30-day free trial. It is granted once per business: changing plan during the trial does not restart it, and a business that has used its trial does not get another.

We do not ask for a card to start the trial and we do not store one. When the trial ends, nothing is charged automatically — we issue an invoice, and you choose whether to pay it. If you pay before the trial ends, your paid period starts when the trial ends, so you do not lose the free days you had left.

3. How invoices work

We issue the invoice for your next period up to 7 days before your current period ends. It is due 7 days after it is issued. You pay it from Billing in your workspace — by card or bank through Paystack's own checkout page, or by telling us about a bank transfer so we can match it. Operix never charges you without you completing a payment yourself.

If you renew early, the new period is added to the end of the one you already have, not started from the day you pay. Any account credit on your workspace is applied to your next invoice automatically.

4. If an invoice is not paid

Your workspace moves through these stages, counted from the day your paid (or trial) period ended:

  • Grace — first 7 days after the due date. Everything keeps working exactly as before. You will see a reminder to settle the open invoice, and nothing is blocked.
  • Read-only — the following 7 days. Creating new records pauses. You can still read everything, run reports, download invoices, contact support, and pay.
  • Suspended — from day 15. New work stays paused until the account is settled. Your data is never deleted or hidden: reading, history, invoice downloads, support, and billing stay open at every stage.

Paying the open invoice at any stage restores full access. We email you as your workspace enters each stage.

5. What happens to your data

Not paying never deletes your data. At every stage above — including suspension — you and your team can still read your records, see your history, download invoices, contact support, pay, and export your whole workspace as a file. No timer deletes a workspace for non-payment: your data is kept until you ask us to close the workspace.

When a workspace is closed at your request, we remove your business data. Our own record of what we billed you and what you paid is kept, because financial records must be kept for audit. See the Privacy Policy for more on retention.

6. Cancelling

Because nothing is charged automatically, you stop paying simply by not paying your next invoice. If you do that, your workspace moves through the stages in section 4 and your data stays available as described in section 5.

To stop billing altogether or to close your workspace, email us at partnerships@mail.spacehubtech.cloud. There is no close button in the app, because closing a workspace cannot be undone (see Terms of Service, section 6). Export your data first if you want a copy.

You can cancel an add-on yourself from Billing. If the add-on raises a limit you are currently using — an extra location or staff seat, for example — you will be asked to bring your usage within your plan first.

7. Refunds

We do not give refunds automatically, and there is no refund button in the app. If you think you were charged wrongly — you paid twice, paid more than the invoice, or paid for something you did not mean to — email us at partnerships@mail.spacehubtech.cloud with the invoice number or payment reference.

We look at every request. Where we agree a refund is due, we either return the money to the original payment method through Paystack, in full or in part, or add it to your workspace as account credit that is taken off your next invoice. If a payment is refunded in full, the period it paid for ends at that point and the workspace moves into the stages in section 4.

If you are unhappy with a charge, please write to us before raising a dispute with your bank — it is usually the fastest way to put it right.
